Privacy Policy
This Privacy Policy explains how AI-Provision Technologies, Inc. ("AI-Provision", "we", "us") collects, uses, shares and protects personal data in connection with our websites and the AI-Provision Control Plane (the "Service").
Template notice. This policy is a starting template, not legal advice. Privacy law (including the GDPR, UK GDPR and US state laws) imposes specific obligations — please have it reviewed by qualified counsel and tailored to how you actually process data.
1. Introduction
We respect your privacy and are committed to handling personal data responsibly. This policy applies to visitors to our website and to individuals whose data we process when an organisation uses the Service.
2. Our role: controller vs. processor
When you visit our website or contact us, we act as a controller of your personal data. When a customer organisation uses the Service and submits data through it, we generally act as a processor on that organisation's behalf, and that organisation's privacy policy governs how the data is used. In that case, please direct requests to your organisation.
3. Data we collect
- Account & contact data: name, work email, company, role and similar details you provide.
- Usage data: how you interact with the Service and our website, including log data, device and approximate location.
- Customer Data: content processed through the Service on behalf of a customer organisation, which may include personal data about that organisation's users.
- Communications: messages you send us, such as demo requests and support enquiries.
4. How we use personal data
- To provide, secure, support and improve the Service;
- To respond to enquiries and provide customer support;
- To send service and, where permitted, marketing communications you can opt out of;
- To comply with legal obligations and enforce our agreements.
5. AI processing & model training
We do not use Customer Data to train external or foundation models. Data processed by AI Agents is used to deliver the requested output and is handled according to the controls the customer organisation configures, including retention and data-boundary settings.
6. Legal bases (where the GDPR applies)
We rely on one or more of: performance of a contract; our legitimate interests in operating and improving our business; your consent (which you may withdraw); and compliance with legal obligations.
7. How we share data
We share personal data with service providers who help us run the Service (such as hosting, analytics and model providers) under appropriate contracts; with professional advisers; in connection with a corporate transaction; and where required by law. We do not sell personal data.
8. International transfers
We may transfer personal data to countries other than where you are located. Where we do, we use appropriate safeguards such as standard contractual clauses and, where offered, regional data residency for Customer Data.
9. Data retention
We keep personal data only as long as necessary for the purposes described here, to comply with legal obligations, resolve disputes and enforce agreements. Customer Data retention is controlled by the customer organisation's settings.
10. Security
We use technical and organisational measures designed to protect personal data, including encryption in transit and at rest, access controls and audit logging. No system is perfectly secure, but we work to protect data appropriately. Report security concerns to security@ai-provision.com.
11. Your rights
Depending on where you live, you may have rights to access, correct, delete, restrict or object to processing of your personal data, to portability, and to withdraw consent. To exercise these rights, contact privacy@ai-provision.com. If we process your data on behalf of a customer organisation, we will refer your request to that organisation. You may also lodge a complaint with your local data protection authority.
12. Cookies
We use cookies and similar technologies as described in our Cookie Policy.
13. Children
The Service is intended for organisations and is not directed to children. We do not knowingly collect personal data from children.
14. Changes to this policy
We may update this policy from time to time. We will post the updated version with a new effective date and, where appropriate, provide additional notice.
